Duplicate-payment VAT profiles

Record organization-specific tax advice and preview the VAT treatment of duplicate payments without posting tax records.

Duplicate-payment VAT profiles

An extra transfer from a customer can have different VAT consequences depending on the supply, jurisdiction, registration, evidence, timing, and the reason for the transfer. Settings > Tax > Duplicate payments lets an organization administrator record qualified advice for an exact scope and preview the result against historical line amounts.

This feature is configuration and preview only. It does not return money, issue or amend a document, submit a VAT return, or create, replace, or rebuild a TaxRecord.

When to use this page

Use this page when a customer has made an additional payment for an order that was already paid and your organization needs to document its VAT treatment. It is an administrator workflow for recording qualified advice and checking historical amounts. You do not need to create a profile for every ordinary payment.

Start in Transactions to identify the actual receipt and its original order. If money was received but is missing from the gateway, follow Record a missing historical bank transfer. This settings page does not record a receipt, match payments, or initiate a refund.

The result you save is a version of your organization's advice profile, not a posted VAT record. Applying qualified evidence to eligible receipt-tax obligations is a separate workflow under Settings > Tax > Tax record maintenance > Receipt-tax recovery, with its own preview and confirmation. A refund or an actual return of money remains a separate payment operation.

Walkthrough

  1. Qualify the advice. Optionally use a candidate as a starting point. Give the profile a stable ID, confirm its supply jurisdiction, registration scheme, effective dates and treatment, and enter the qualified adviser and supporting source. A candidate is not ready-to-use organization advice.
  2. Preview the historical supply. Enter the original invoice and duplicate receipt references, actual dates, currency and the original line amounts. Add a line for each distinct historical supply or tax treatment. Enter amounts in normal currency units using your saved number format, such as 119.00 or 119,00; do not enter minor units. Rates use basis points: 1900 means 19%. The preview uses your entered historical amounts rather than recalculating them at a current rate.
  3. Choose Preview treatment and review the status, reasons and each line's result. Original VAT belongs to the original supply; Additional VAT is the previewed amount for the extra receipt; Total VAT combines those two. Expected return VAT is hypothetical. Actual return VAT requires evidence of money actually returned.
  4. Save a profile version after reviewing the current draft. Save immutable version stores the advice and its scope in the version history. Editing any field invalidates the previous preview. Saving a profile, including one whose example remains Needs review, does not itself qualify a receipt or post VAT.

Use the additional replacement fields only when superseding a known profile version; the rules below explain how its effective boundary is preserved. For Union OSS, enter the exact registration information covered by the advice. Do not select domestic VAT merely because an OSS registration is missing.

Understand incomplete or failed results

  • Needs review means that evidence, applicability or a supported capability is incomplete. Read the listed reasons; it is not an approval to post and does not mean zero VAT.
  • If profiles cannot be loaded, use Try again. The page does not offer a usable form with another organization's data.
  • If another administrator saves first, review the refreshed version and your preserved draft before retrying.
  • If no actual return has happened, leave the actual-return fields empty. An expected future refund is not evidence of a completed return.

Before you save a profile

Obtain advice that identifies all of the following:

  • the supply jurisdiction and VAT registration scheme
  • the duplicate-payment scenario and its connection to the original supply
  • the effective start and end dates
  • whether the receipt is additional consideration or outside the scope of VAT
  • the source, source date, review date, adviser, and qualification date
  • the recognition rule, correction period, and documents required for the original invoice, duplicate receipt, and any actual return

The built-in Germany, Austria, and United Kingdom entries are candidate guidance. They are not organization-specific advice, do not claim a verified legal effective period, and cannot enable posting. Selecting one copies it into a draft so the organization can add its own qualified evidence and exact effective dates. Germany and Austria show an additional-consideration candidate; the United Kingdom shows an outside-scope candidate.

Preview and version history

Enter the historical tax point, duplicate receipt time, registration facts, document references, original line net/VAT/gross amounts, and duplicate amount. Amounts use the selected currency's minor-unit precision. The preview allocates VAT from the stored historical line snapshot; it does not apply today's rate. A stored tax amount may differ from the rate calculation by one minor unit to preserve historical line or document rounding; larger contradictions are rejected.

An expected return is hypothetical and is shown separately from an actual documented return. An actual return needs its return timestamp, an explicit correction period, and a meaningful return-document reference that differs from the original invoice and duplicate-payment references. The preview currently accepts YYYY-MM as the period representation; other filing-calendar period formats remain Needs review, and the organization remains responsible for choosing the period required by its filing calendar. Missing evidence, basis, timing, documents, registration, unsupported countries, or unrelated transfers produce Needs review rather than a silent zero-tax answer.

Preview the current draft before saving. Saving appends an immutable profile version using the organization revision shown when the page loaded. To replace existing advice prospectively, select its exact profile ID and version and set a future effective boundary. The predecessor remains authoritative before that boundary and remains readable for stored decisions, but it never becomes active again after the successor starts. If a finite successor reaches its configured end, no profile applies until another valid successor covers that time. Forked, stale, cyclic, cross-tenant, or scope-changing replacements are rejected. If another administrator saves first, the page refreshes the current revision and preserves the unsaved form so you can review and retry.

The settings store supports up to 100 active profile applicability entries per organization, and a preview accepts up to 100 components. Mixed lines keep their own jurisdiction, rate, exemption, reverse-charge treatment, profile reference, decision reasons, and immutable context digest.

For cross-border Union OSS, choose the Union OSS registration scheme and record the exact seller country, member state of identification, registration identifier, destination jurisdiction, and OSS-treated historical lines covered by the advice. Domestic advice cannot qualify an OSS receipt. New receipt qualification also requires registration-bearing filed-return evidence with the same registration identifier and original filed quarter. In the guided report workflow, staff enter the filed amount in human currency units and select an evidence document whose SHA-256 digest is computed locally without uploading the file. When matching immutable schema-1 filing evidence already exists, the workflow records a separate immutable registration companion against that same filing ID; it does not replace the filing, fork its correction history, or infer historical registration from current organization settings.

Coverage and capability status

The coverage registry lists the EU 27 plus the United Kingdom, Switzerland, Norway, Iceland, and Liechtenstein. Inclusion in the registry is not a statement that a treatment is qualified or executable:

  • Germany, Austria, and the United Kingdom have candidate evidence and non-posting preview guidance.
  • France, the Netherlands, Ireland, Spain, Switzerland, and Norway are marked for follow-up.
  • The remaining listed jurisdictions are unreviewed.

Recognition, correction, documents, evidence, qualification, preview, and posting status remain separate. Unknown capability values are rejected; recognized but unavailable capabilities remain Needs review. Saving a profile or running its preview never posts. A merchant profile whose evidence, qualification, preview, and posting capabilities are all explicitly supported can be selected by the separate receipt qualification flow only when its exact scope and immutable evidence match.

Synthetic examples

The built-in examples are fixtures for explaining the preview, not tax advice:
